This policy explains what this website collects, why, and what happens to it. It covers the website only — information shared during therapy itself is governed by professional confidentiality obligations and the practice's clinical records policy, which are separate from this page.

What you give us directly

The contact form collects your name, email address, an optional phone number, how you prefer to be contacted, and your message.

The booking form collects the same details, plus the date and time you select, an optional alternative date and time, and anything you write in the notes field.

This information is stored in the practice's own database and is used to reply to you and to arrange and manage your appointment. It is not sold, rented, or used for advertising.

Appointment management links

When you book, your confirmation email includes a private link that lets you reschedule or cancel without contacting the practice. Anyone holding that link can change that appointment, so treat it as you would a booking reference and avoid forwarding it.

The link contains a randomly generated token. It is deliberately excluded from the website's own analytics records so that it is not stored alongside general traffic data.

Website analytics

The site measures its own traffic without cookies and without any third-party analytics service. No data is sent to advertising networks.

For each page view it records the page path, the language, the type of device, and the website you arrived from, if any.

Visitors are counted using an irreversible identifier created by hashing your IP address and browser together with a secret value and the current date. The IP address itself is not stored in these records, and because the date is part of the hash, the identifier changes daily and cannot be used to follow you over time.

Security and abuse prevention

To stop automated abuse of the contact and booking forms, the site briefly records IP addresses for rate-limiting purposes. These records cover a rolling one-hour window and are not used for any other purpose.

The site also keeps a delivery log of the emails it sends — the recipient address, the type of message, and whether delivery succeeded — so failed confirmations can be spotted and resent.

Google Calendar access

With the therapist's explicit permission, this site connects to her own Google Calendar so that booking can reflect her real availability. This connection is to the practice's calendar, not to yours, and you are never asked to sign in with Google.

The connection is used to read busy and free periods so that unavailable times are not offered, to create, update and remove calendar events for appointments booked through this site, and to generate a Google Meet link for online sessions.

The site stores the authorisation tokens for this connection, along with the calendar event identifier and meeting link associated with each appointment. It does not read the contents of unrelated calendar events.

This site's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is never sold, never used for advertising, and never used to train artificial intelligence or machine learning models.

Who else can see your information

Your information is handled by the practice. It is not shared with third parties for their own purposes.

Some technical providers necessarily process data in order for the site to function: the hosting provider that runs the website and its database, the email provider that delivers messages, and, for calendar synchronisation only, Google. Each acts on the practice's instructions.

Information may also be disclosed where the law requires it, or where a professional duty to protect someone's safety applies.

How long it is kept

Enquiries and appointment records are kept for as long as needed to provide and administer care, and then for the period required by the professional recordkeeping obligations that apply to a licensed therapist in Texas.

Analytics records contain no directly identifying information and are retained in aggregate.

Your choices

You can ask what information is held about you, ask for it to be corrected, or ask for it to be deleted, subject to any records the practice is professionally or legally required to retain.

Children

This website is not directed at children, and the forms on it are intended to be completed by an adult. Where therapy involves a minor, arrangements are made directly with a parent or legal guardian.
